Now Hiring: Administrative Coordinator

The Catholic Foundation is seeking an enthusiastic individual to provide support to the operations function of the Foundation with a focus on grant processing, grantee support, and accounts payable within the values of the Catholic Church and in support of the mission of The Catholic Foundation.

PRIMARY RESPONSIBILITIES

  • Support fiscal and business operation services as assigned including processing of grant applications and payments, accounts payable processing, business files, deposits, accounts receivable, contracts, and other miscellaneous.
  • Support fiscal and business operation services as assigned including processing of grant applications and payments, accounts payable processing, business files, deposits, accounts receivable, contracts, and other miscellaneous.
  • Processing of the scholarship program including fund and policy compliance, applications, committee assignments, verifications, payments, and filing.
  • Processing of the donor advised fund program, fund holder support and communications, grantee research, data entry, payments, and filing.
  • Assist with support for events as needed. Assigned tasks may include location, room set-up, food and other supplies and materials, cultivating ideas, building each program progressively, and ensuring final arrangements.
  • Enter all recurring gifts into electronic processing system and maintain tracking list of recurring gifts to ensure all gifts are made and processed.
  • In coordination with the Receptionist and Administrative Coordinator-Development Focus, provide reception for Foundation guests including telephone and in-person.
  • Provides timely external customer service to all constituents of the Foundation.
  • Database entry as appropriate for the position and assist other departments as needed.
  • Hand written and typed correspondence as needed.
  • Order and ensure inventory of office supplies as requested and needed, adequate postage, and ensure all office equipment is operational.
  • As needed, coordinate duties with Receptionist and Administrative Coordinator-Development.
  • Perform other duties as assigned from time to time by the supervisor.

QUALIFICATIONS

  • A minimum of an associate‚Äôs degree in business administration or related field of study.
  • A minimum of two years experience in a philanthropic office setting including business operations, banking, bookkeeping, data entry and computer related hardware and software applications.
  • An understanding of Catholic stewardship and philanthropy.
  • Excellent reading, written, and oral communication skills.
  • Strong team skills and an ability to serve and assist others in multiple assignments.
  • The ability to work with others in a collaborative team environment or independently.
  • Proficient with Windows office suite applications including Word, Excel, and database, ability to process reports and update website as necessary.
  • The ability to maintain all information highly confidential.
